She looks absolutely miserable.
“The setup took me 3 days instead of an hour, and then finally, I got it all done and think it’s going to work! But now instead of actually running the thing, I’m again spending hours trying to figure out yet another new platform so I can take payment the way I want.”
I can feel her pain even through the Zoom screen 😭 I also recognize this particular flavor of exhaustion.
As usual, I need to know more:
“Now that it’s set up, what is causing you to spend more time in the tech?”
She doesn’t even have to think. “It’s def not streamlined for me and I have no idea if it’s working for my clients.” She pauses.
“And honestly, I’m exhausted, because it feels like I’m reinventing the wheel every time I do a program. Just trying to figure out how to make the tech work.”
I am always looking for the right balance for business owners like Reader – I know you’ll need to update a photo or swap out a price or build a new sales page section without second-guessing whether you’re about to break something. (Or break everything.)
This client, we’ll call her Casey, is a relationship coach who came to me for a Scouting Session.
Her website and systems had grown over the years in a totally patchwork way.
(((Which is totally typical!)))
A website, two payment processors, three landing pages, six calendar booking links, four email lists across different platforms, and a partridge in a pear tree.
Adding another platform wasn’t the answer.
Because the platform was never the problem.
What I do before recommending anything is diagnose.
I need to know:
👩🏻⚕️ what's currently happening,
👩🏻⚕️ what you want to accomplish,
👩🏻⚕️ what your clients need to experience,
👩🏻⚕️ and the capacity you have to manage it.
Casey's plan going in was to run more ads to the free webinar and build a course to capture them.
After all, the webinar wasn’t bringing in enough clients, so – naturally – more webinar. More traffic.
But when I looked at the full picture, that wasn't the problem.
People were showing up to her presentations. She had an email list. The audience was there.
What wasn’t there: a clear next step after they showed up. There was no path from the free presentation to how Casey could help them next.
Just a gap. (A big 'ol costly one.)
The other part I saw was the mismatch between her site and what her clients needed.
Like, as soon as you open the homepage, you are met with a pop-up chatbot.
A relationship coach – someone who built her entire practice on trust and one-to-one connection – with a website that greeted people like a Spirit Airlines FAQ page.
More ads and a new course would have filled her plate with a crapload of more work and left the actual problem untouched.
So instead, I recommended:
- updated positioning
- a site that mirrors how she actually works with people
- and a nurture system to guide people from interested to ready
^ All in a way that worked for the kind of business she wanted to run.
And that’s on strategy.
If you’ve been spinning on the tools when the actual issue is somewhere else entirely, that’s what a Scouting Session is for.

P.S. The Scouting Session is a single paid strategy call. You walk away with a clear map of what to build and how to run it. No commitment beyond.
